Anyone fully run all agency operations on ClickUp?
We just got ClickUp after bouncing from Asana to Airtable (purely client-facing projects) and now realize CilckUp could solve all our problems for tracking internal commitments and client projects. Would love to learn how others have implemented and set up ClickUp to run an agency business and client projects. Or any resources you'd recommend? Did a Google search but most of what I found was generic stuff.

I have used ClickUp for years. We used it to manage 150 technical audit orders per month as well as normal SEO/Advertising services for each client. The automations were also really easy. Basically our forms on the website would create tasks and assign them to different team members. We also used the reverse to automate emails back to the clients. The stack we started with was ClickUp, Zapier, Website forms, Active Campaign. The CMS doesn't matter as much, but not having to email or update a client when we move a task along in the series is really nice.

Your top focus of the year probably needs to be retention
Read a really good piece yesterday that talks about the 'churn snowball'. I know we'd all like to think that really good marketing can offset churn, but that just doesn't work long term. Plus, it's embarrassing to market a turd. Below are some of the most significant impacts of churn: 1) FOREVER Lost ARR I added emphasis to the “forever” part because churned ARR isn’t something companies can magically make up for by selling more next year. A lot of people talk about churned ARR as if they can make up for it with more sales. Yes, companies can add more ARR, but sales reps would have theoretically closed those deals regardless of the churn because they only have so much capacity. A sales rep isn’t going to say “Hey, we churned a lot last quarter so I am going to work a little bit harder and close an extra deal this quarter to make up for the churn!”. ARR is a double-edged sword. It is recurring so the revenue can repeat for many years, but if companies churn a customer then that is multiple years of lost revenue that is lost forever. 2) Lost Expansion Opportunities When a customer churns, companies lose the opportunity to expand that customer. Expanding existing customers is significantly easier and cheaper than selling to a new customer so churn means companies don’t get that efficient revenue growth. For example, if a company’s annual expansion target is 30% then that revenue is also lost FOREVER. 3) Lost Second Order Revenue Second-order revenue consists of: - Sales that come from existing customer referrals - Sales from customers changing employers and buying the product again at their new employer - It’s hard to quantify this but in the tech world, these costs are very real and likely more significant than most people realize. As an example, if Bob buys SaaS widget from Company ABC and doesn’t have a good experience (deployment is bad, features were oversold/lacking, etc) then when Bob changes jobs there is a high chance he doesn’t purchase from Company ABC at his new company. Not only that, but Bob likely will tell his friends about his bad experience and that Company XYZ is much better.

I would agree that retention is key to a successful business. We have been fortunate, to say the least, and some clients we have had since 2007. With that being said, we focus heavily on retention. I was in retention at a Fortune 500 company for 15 years. Our existing clients were worth far more than any new client on any given day. In some industries, a new client can take six months to 3 years to become profitable. It depends on the equipment cost, tools, time, and other things, but in the end, it's just worth it to do everything you can to keep existing clients (assuming they are profitable). In many cases, it can take 3 or more new clients to replace 1. Unless you just get that big client everyone wants.
How have you actually used AI in your business?
Either for yourselves or for clients. For example, we have transcribe job interviews and have chatGPT summarize so we can store them in our applicant tracking system to make it easier for others to follow.

That is an interesting use for chatGPT. I have used it, currently I am using it to quickly create keyword clusters for websites and using it for some code such as faq schema for sites that don't have built in schema tools like WordPress.

Hi, I'm Edward, founder of WP Suites. I started on the internet with gaming. Oddly, I barely knew how to copy and paste on a computer, but I understood the software. I was building maps and mods for Operation Flashpoint by Bohemia Interactive. I started building websites in 2003. By 2006 I was hosting thousands of websites, designing gaming themes for our own CMS called Evolution Xtreme, based on phpBB. We partnered and hosted the Americas Army game and every other multiplayer game. Ultimately, I gave the entire CMS, custom themes, and plugins away to a young kid in the UK. He loved helping the community we built, and I wanted something challenging. I got into SEO around 2009. Finally, I found something that never gave me a chance to let my guard down. It is constantly changing, and it keeps my attention. A brag would be that we have completed over 3000 full technical, schema, content, keyword, backlink, and competitor audits since 2019. We have also done SEO Implementations on over 2500 of those sites. We have worked with some of the biggest agencies in the world as well as big brands such as leadpages, NPDigital, and NPAccel. We are building a tool that does backlink audits on hundreds of thousands of URLs in minutes. Last thing. Thanks, @Eric Siu, for your continued interest in helping others.
