How should I go about actually tracking my clients revenue so I know how much I make to properly bill my performance fee? Is there softwares you guys use to do this or how can I track their numbers to make sure I get paid the right amount

There is usually financing involved and a design process for the project then a follow up appointment when the customer actually pays. Any tips for this or is it more about setting expectations with my client and having full access to their calendar to track things better?
