Lessons Learned: Creating My WBS
Before this week’s assignment, I thought the Work Breakdown Structure (WBS) would be a pretty straightforward, small document based on what I’d studied for my PMP. But after diving into it, I now see just how crucial the WBS is in shaping the overall project plan. It’s the backbone that helps ensure all the details are covered, making project planning more thorough and inclusive. I did hit a few bumps along the way, especially when it came to navigating technical IT jargon and figuring out who’s responsible for what deliverable, and what stakeholders need to be involved in such a large-scale project. That said, I’m actually grateful for the challenge—it pushed me to think more critically about roles, responsibilities, and the finer points of project planning. It was a tough but rewarding exercise, and I feel much more prepared for tackling complex projects in the future!

No project runs smoothly 100% of the time—obstacles are inevitable. What makes a great project manager is how they handle those challenges and keep the team moving forward. Here are a few problem-solving techniques that can help you stay on track when you hit a roadblock: 1. Break it Down When a challenge feels overwhelming, break it into smaller parts. This helps identify the core problem and makes it easier to tackle one piece at a time. 2. Get Different Perspectives Sometimes the solution is clearer from another angle. Bring your team together for a quick brainstorming session. Fresh eyes can often spot solutions you might have missed. 3. Root Cause Analysis Use techniques like the 5 Whys to drill down to the root cause of the problem. Often, what seems like a surface issue is a symptom of something deeper that needs fixing. 4. Stay Solution-Focused It’s easy to get bogged down in what's going wrong. Shift the focus to what can be done. Encourage your team to think in terms of solutions instead of problems. 5. Be Flexible Sometimes, the original plan needs to change. Be open to adjusting your strategy if that’s what’s needed to keep the project on track. I have a new project manager who has just reached the 60-day mark, and it’s clear he’s struggling in the role. To understand the challenges he’s facing, I’ve held several one-on-one meetings with him, but I’m not receiving much feedback; he often seems lost, almost as if I’m talking to a wall. During our last conversation, he admitted that he can’t sell and manage a project simultaneously. I’ve communicated my concerns to the leadership team, emphasizing that the sales responsibilities should be removed from the PM’s duties. The only reason I was able to handle both roles was due to my extensive experience and background in sales and marketing. However, they seem to expect him to manage everything just as I did for three months, which I believe is an unrealistic expectation for a project manager. The leads also wanted the PM to complete a daily scorecard of his KPIs. I agreed to this, but I’ve noticed a decline in his enthusiasm. It seems we’ve added another task that highlights his feeling of being overwhelmed. I’m considering scheduling a meeting with him to assess his situation, encourage him, and celebrate the successes he has achieved. Would that be the next step?

1. I would like to learn more or picking projects up in the middle, I know we rarely if ever get a project from kick off, I have experience in not starting from the beginning but to have some best practices that would be great. 2. PM's can sometimes go through Burn-out when you are over seeing a project and you notice your PM is constantly overwhelmed and is feeling what is known as Burn-out, how do you coach through this.
